General terms and conditions of sale

Booking

The booking made with Hotel Le Quercy becomes effective when the following two conditions are met:
  1. On receipt of the signed pro forma invoice and General Terms and Conditions of Sale
  2. We require a deposit amounting to 30% of the full cost of the services booked.
 If this deposit is not paid by the date agreed on the booking request, Hotel le Quercy will be entitled to cancel the booking option after 2 written reminders.

Nominative List

The final list of names and choice of menus must be sent to the hotel in writing no later than 5 days prior to the group’s arrival if the food option is chosen.

We will invoice for the number of people communicated in this document (accommodation and food).

If the hotel does not receive the above-mentioned documents, it reserves the right to make partial use of the rooms and meeting rooms initially booked.

Modification - Cancellation

Any partial or total modification or cancellation must be made in writing. The following charges will apply to all cancellations:
 
Up to 30 days before the check-in date No cancellation fees
Between 29 and 15 days before the check-in date We will invoice 30% of the total amount of the signed quotation
Between 14 and 8 days before the check-in date We will invoice 50% of the total amount of the signed quotation
Less than 5 days before the event or in the case of a no-show We will invoice the full amount of the signed quotation

Payment

The remaining balance must be paid within 15 days of receiving the invoice following the group’s visit.

All supplements must be paid on site by the customer.

If payment is not made within the specified time limits, a late payment penalty will be applied at a rate of two and a half times the legal interest rate.

In the event of non-payment as per the agreed terms & conditions, and if a formal notice remains unanswered, the hotel reserves the right to cancel any future bookings made by the customer.

Disputes

All complaints must be sent by registered post with acknowledgement of receipt to Hôtel le Quercy, 8, quai Tourny, 19100 BRIVE-LA-GAILLARDE, no later than 30 days after leaving the hotel. Once this period has elapsed, no complaint can be taken into account.

Any dispute arising from the interpretation or performance of these terms & conditions shall be referred to the Tribunal de Grande Instance (High Court) of BRIVE-LA-GAILLARDE.
